Privacy Policy

This policy explains what ClozeLoop Inc. ("ClozeLoop", "we") collects when you use ClozeLoop Practice at practice.clozeloop.ai (the "Service"), how we use it, and the choices you have. Plain-English summaries lead each section; the details follow.

1. What we collect

Account information. Name, email address, work email domain, role, and optionally your LinkedIn profile URL, collected when you sign up or complete onboarding. Authentication is handled by Stytch; payments by Stripe (we never see full card numbers).

Content you provide. Playbook entries (personas, competitors, objections), uploaded slides and screenshots, notes, private background context, and the audio, transcripts, and recordings of your practice sessions.

Usage information. How you use the Service: sessions started, practice minutes, scores, features used, plan and billing status, pages visited, and technical data such as IP address, browser type, and referral or campaign parameters.

2. How we use it

In short: to run the Service, to improve it, and to grow ClozeLoop's business, including identifying companies that could benefit from our team products.

• Operate the Service: run your practice sessions, generate and score conversations, maintain your history, process payments, provide support.
• Improve the Service: understand which features work, fix problems, develop new capabilities.
• Business development, including upsell. We review account and usage information, both individually by our team and programmatically, to identify opportunities to offer ClozeLoop products to you and to your organization. For example, if several people at one company practice regularly, we may reach out to you or to that company about our team offerings, and we may reference aggregate activity (such as the number of active users or total practice minutes at the company) in doing so. We do not share the content of your practice sessions (transcripts, recordings, notes, or private context) with your employer or colleagues without your consent.
• Communicate with you: transactional email (sign-in links, receipts) and product updates. You can opt out of non-essential email.
• Protect the Service: security, fraud prevention, abuse detection, and enforcing our Terms.

3. AI processing and model training

The Service is built on third-party AI providers, including OpenAI, which process your content to power conversations, scoring, and drafting. These providers act as our processors and do not use your content to train their models: API content is excluded from training under OpenAI's policies, and ClozeLoop has additionally opted out of training on content associated with our accounts (confirmed by OpenAI on September 3, 2024). ClozeLoop also does not use your content to train foundation models.

4. When we share information

We do not sell your personal information. We share it only with:

• Service providers that run the Service on our behalf: cloud hosting (Cloudflare), AI processing (OpenAI and speech providers), authentication (Stytch), payments (Stripe), each bound to use data only to provide their service to us;
• Your workspace: playbook content (personas, competitors, objections, slides) is shared with verified colleagues on the same work-email domain, that is how team workspaces work. Your session content and private context are not;
• ClozeLoop's sales team, internally, as described in Section 2;
• Legal: when required by law, to protect rights and safety, or in a merger, acquisition, or sale of assets (with notice).

5. Cookies

We use first-party cookies for sign-in sessions, security (Cloudflare Turnstile), and campaign attribution (a 30-day cookie recording how you found us). We do not run third-party advertising trackers on the Service.

6. Retention

We keep your information while your account is active. Practice recordings and transcripts follow your plan's retention (free plans do not retain recordings). If you delete your account, we delete or de-identify personal information within 30 days, except records we must keep for legal, billing, or security reasons.

7. Your choices and rights

• Access, correct, or delete your information by emailing support@clozeloop.com.
• Export your playbook and history by request.
• Opt out of non-essential email via the unsubscribe link.
• Depending on where you live (including California), you may have additional statutory rights to access, deletion, correction, and portability. We honor verified requests and do not discriminate for exercising them. We do not sell or "share" personal information as those terms are defined in the California Consumer Privacy Act.

8. Security

Data is encrypted in transit, secrets are stored server-side only, and access to production systems is limited to people who need it. No system is perfectly secure; report concerns to support@clozeloop.com.

9. Children

The Service is for working professionals and not directed to anyone under 18. We do not knowingly collect information from children.
